Introduction:
In this article, we're going to walk through, step-by-step the process of booking a new lead for a trial class in StudioHub.
Step 1: Go to the Conversation
The first step is to click on the 'Conversations' tab on the menu on the left side. Then you can click on the conversation with the new inquiry.
When a new lead enquires about your classes, the system will send them an automated message. This message will thank them for their interest, and ask which class they'd be interested in.

Once the lead responds to the first automated message with the class they'd be interested in, the next step is for you to send them 2 separate messages. The first message will be your schedule which matches the class they are interested in. The second message is to ask them which class they'd like to start with.
You are going to use templates to send these messages. This makes it easy for you to send the same messages to all leads via text.

To do this:
- Click on the ‘Template’ icon at the bottom of the screen
- Select the appropriate schedule
- Click on ‘Use Template’
- Click ‘Send’
- Then you want to immediately send them another template to ask which class they’d like to start with.
IMPORTANT: Always finish your messages with a question! This keeps the conversation flowing and encourages the lead to respond.
- Click on the ‘Template’ icon at the bottom of the screen
- Select the ‘Which class would you like to start with?’ template
- Click on ‘Use Template’
- Click ‘Send’
Step 3: Booking the Trial
After the lead responds to those messages and chooses a class, your next step is to type and send a new message. In it, you will confirm the appointment date.
Confirm Appointment:
- Click on 'SMS' at the bottom of the screen
- Then type a message like: “Would you like to come in this week or next week?”
- Click ‘Send’
Book Appointment:
Once you've confirmed the trial date,
- Click on the ‘Appointments’ icon on the right-hand side of the screen
- Click on the ‘Book Appointment’ button
- Enter the appointment title, which should be: {Name of Dancer} – {Name of Class}
- Click on ‘Add description’
- Copy & Paste the ‘Appointment Title’ into the ‘Appointment Description’
- Select the correct Date & Time
For the "Time Slot" you can select the start time. Even though there is a 5-minute time slot, the lead will only see the start time
- Then click on ‘Book Appointment at the bottom of the pop-up window
Then the automation for the appointment confirmation will fire.
