INTRODUCTION

Welcome back!


In the previous video, we talked about how to create a StudioHub calendar from scratch.


Once you have created a calendar, there are 2 ways that you can use the calendar to schedule people into it.


  1. Internally
  2. Externally


Let's talk about each of these. 



INTERNAL


First, we're going to talk about internally scheduling someone for an appointment in your new calendar.


There are many ways to do this.


Conversation screen:

  • Go to the conversations
  • Find the contact that you are interested in scheduling into your new calendar.
  • Click on the calendar icon
  • Click on "Book appointment +"
  • At the top look for the heading "calendar", and click on the field to pull down the drop-down menu
  • In this menu, you will be able to see your new calendar here.
  • Once you select it, fill out all the details to schedule the contact into your new calendar.



Contact "Smart List"

  • Search and find the contact that you want to schedule in your new calendar
  • Click on the contact's name to open up their profile
  • Add the top right, look for the calendar icon
  • Click on "+ Add" (or the link that says "here")
  • Just like in the option above, at the top look for the heading "calendar", and click on the field to pull down the drop-down menu
  • In this menu, you will be able to see your new calendar here.
  • Once you select it, fill out all the details to schedule the contact into your new calendar.

There are 2 options that you can do on this screen


Option 1

  • Click on "+ New"
  • Type in the name of the contact on the right
  • Click on the contact
  • Once again, just like in the option above, at the top look for the heading "calendar", and click on the field to pull down the drop-down menu
  • In this menu, you will be able to see your new calendar here.
  • Once you select it, fill out all the details to schedule the contact into your new calendar.


Option 2

  • Click and drag on the calendar for the date that you want to schedule.
  • Follow the exact steps like the option we just covered before.



These are ALL internal ways in which you can schedule a contact into your new calendar.


Now, let's cover the external ways in which you can use your new calendar.



EXTERNAL


In the previous section, what I meant by internal, is that you or your team are booking the contacts into your new calendar.


There's also the external option of having people schedule themselves into your new calendar.


There are 2 ways to do this.


Option #1 is to share your calendar link. This way people who click on the link can open up the calendar and schedule themselves.

Option #2 is to embed your new calendar into a website page. This way people who visit your website page can see your calendar, and schedule themselves there.

Here's how to do both of these options.



Option 1 - sharing the calendar link

Let's talk about first sharing the calendar link:

  • Go to StudioHub settings
  • Click on "Calendars"
  • Click on the 3 dots on the right-hand side of your new calendar.
  • Click on "Share" which will open up a pop-up.


Inside the pop-up, you'll see "scheduling link", and "permanent link"


I'm going to skip the explanation for what is the difference between the two links because it's a little bit technical. I usually just copy the permanent link.


Once you have copied the link, you can send the link over text message to a contact. When they click on the link, it'll open up your new calendar.


Option 2 - Embedding the calendar

As I mentioned above, the last option is to embed your calendar on your website.


To do this, you follow the same steps above.


  • Go to StudioHub settings
  • Click on "Calendars"
  • Click on the 3 dots on the right-hand side of your new calendar.
  • Click on "Share" which will open up a pop-up.
  • In the pop-up, at the top, click on "embed code"


This will bring up the embed code that you or your developer can use to embed your form in your website page!

Those are all the ways to schedule or have people schedule an appointment in your new calendar.


There are some topics that we still need to cover when it comes to calendars.


For example, we haven't talked about what happens when someone schedules an appointment inside your new calendar.


How can you create automation that sends people a confirmation and reminders, or information about the appointment that they scheduled?
