INTRODUCTION

Hello, and welcome back!!!


In this video, I'm going to walk you through the process of creating a StudioHub calendar from scratch. 

CALENDAR BUILDER

To start, we first need to go to the calendar settings.


To do this just click on "settings" at the bottom left corner of your StudioHub account.


From there, click on "calendars" on the left-hand menu.


This is the calendar settings screen.


In this screen, you can create new calendars and edit the calendars you already have.


As you can see, there are a lot of settings in this screen.


Some of these settings are very advanced and hard to explain, so I'm going to skip them, and only focus on the basics.


Let's dive into creating a calendar.



CREATING A CALENDAR

To start, press the button at the top right corner that says "Create calendar", which will open up a pop-up.


Again, to keep this video simple, I'm going to ignore all of the settings here, and just click on "Simple Calendar"


Naming the calendar - You can name the calendar whatever you want. Free trial class. Private lessons. Let's pretend we're creating a calendar for a "shoe sizing" appointment.


Add a description - Here you can write what the calendar is about.


Custom URL - Give the calendar a unique link here. For example: shoes-appointments-123

Meeting duration - Let's skip over this one for a second, and come back to it after availability.


Booking availability - When people see the calendar, what days and time do you want to have available for people to book? For example, if you are taking in shoe fitting appointments, maybe you only want to take them on a Tuesday at 7pm. If this is a calendar where people can schedule themselves for a free tour, then set the availability of the calendar to whenever you're available to give tours. That might be Tuesdays between 12-1pm and 4-5pm, as well as Thursdays at 7pm. If this calendar is only going to be used internally to book people into free trials then you might want to leave the availability open from 7am to 10pm every day.    


What I mean is that a calendar can be given to people to schedule themselves, or it can also be used internally to schedule people without them ever getting access to the calendar. {SHOW EXAMPLES}


Meeting duration - If this is a calendar where people are going to schedule themselves, then you want to choose here how long your "events", or "appointments" last. On the other hand, if this is an internal calendar where you are the one booking people into the calendar, instead of them booking themselves into the calendar, then you might want to put here 5 minutes as it will give you the most amount of flexibility.

Note: You can always come back to these settings, and edit them later if things change.


Meeting location - If this is a calendar where people are going to book themselves, you might want to add a meeting location here. This meeting location will show up in their Google calendar meeting invite.


Next, click on "advanced settings". There are a few settings here that we need to talk about.



MEETING DETAILS

Calendar logo - if this is a calendar that your customers will be able to access, you can add a logo or an image to the calendar. For example, if this is a calendar for people to schedule a private consultation, then you can add a headshot of the person who is taking the appointments here.



AVAILABILITY

Recurring meeting - If you want people to schedule once, and have the calendar auto schedule them for recurring appointments. For example: If you want people to book for a meeting that happens every Tuesday, this would be the way to do it. You can play around with this, but I usually just leave it off.



FORMS AND PAYMENTS

This is pretty advanced, but I'll tell you what it does, in case it gives you some ideas.


By default, the calendar first asks people to schedule their time, before asking them to fill out the form with their contact details...

Now, if this is a client-facing calendar, and you want to collect more information from people besides their name, phone, and email before they book their appointments, you can change the form that people fill out.

To do this, you need to first create a form. Only once you have done that, will you be able to see the form showing up here in the drop-down menu of the calendar.


Widget order - Another option might be to have people fill out the form first, before they book they schedule the appointment.

CONNECTIONS

Here you can synchronize the appointments that get booked from your StudioHub calendar into a Google calendar. If you are doing 1-on-1 appointments like private lessons, or consultations, this could be useful to have StudioHub add to your Google calendar the appointments that people schedule in the StudioHub calendar. What I mean is that if someone schedules in your StudioHub calendar for next Tuesday at 5pm, if your Google calendar is integrated to your StudioHub calendar, you will see that appointment booked in your Google calendar.


This feature could also be if useful you're offering free trials or free tours, and you have a shared Google calendar in your business where people can see when people have booked trial classes or free tours. In this case, if someone books an appointment in StudioHub, everyone will be able to see that appointment in the shared Google calendar, if the Google calendar is integrated with StudioHub.


CUSTOMIZATIONS

If this is a client-facing calendar, this is where you can customize the look of it.
