Introduction:

In this video, we're going to walk through, step-by-step the process of booking a new lead for a trial class in StudioHub.

Let's dive right in!

Step 1: Go to the Conversation

The first step is to click on the 'Conversations' tab on the menu on the left side. Then you can click on the conversation with the new inquiry.


When a new lead enquires about your dance classes, the system will send them an automated message. This message will ask for the name & age of the dancer.

Step 2: Sending Your Schedule


Once the new inquiry responds to the first automated message with their child's details, the next step is for you to send them 2 separate messages. The first message will be your schedule which matches the age of the child. The second message is to ask them which class they'd like to start with. 

To do this, you're going to use templates. This makes it easy for you to send the same messages to all new enquiries via text.


  • So first, you're going to send them the appropriate class schedule. 

    To do this you're going to click the template icon at the bottom, select the schedule that matches the child’s age, and click 'Use Template', followed by 'Send'.



Then you're going to send them another template to ask which class they’d like to start with. This keeps the conversation flowing and encourages the lead to respond with a class choice.

  • To do this we’re going to click the template icon at the bottom of the screen again, but this time you should select the template labelled ‘Which class would you like to start with?’. 

  • Then click 'Use Template'


  • Then click 'Send'.



Step 3: Booking the Trial


After the lead responds to those messages and chooses a class, your next step is to type and send a new message. In it, you will confirm the appointment date:


  • You can use a message like: “Would you like to come in this week, or next week?” 
    (This is important because it prevents booking confusion) 


Now you can get to the most important step, which is booking the appointment:

  • To do this you’re going to click on the ‘Appointments’ icon on the right-hand side of your screen and you can click on the ‘Book Appointment’ button.


  • Then you can enter the details for the Appointment Title, which should be: {Name of Dancer} – {Name of Class} (for example: ‘Sarah – Tiny Stars’)


  • Then you should click on the ‘Add Description’ button, and paste the 'Appointment Title' into the ‘Appointment Description’.


  • Then you should select the correct day & time in the ‘Date & Time’ section. 
  • Then click 'Book Appointment


For the 'Time Slot' you can select the start time. Even though there is a 5-minute time slot, the lead will only see the start time.


Then the last screen we are looking at is the automation for the appointment confirmation which will fire immediately after you have booked the appointment.
