Introduction

In this guide, you'll learn how to set up automated follow-up messages for individuals who attended a trial class but didn't sign up. By automating your follow-up process, you can ensure that potential leads receive timely and personalized messages to encourage enrollment or gather feedback.



  • Go to the Calendars tab and access the "Appointments" tab on the top. 



  • Choose the contact that you want to interact with. Click on the Status field, and then choose the "Showed" option. 



  • Go to the "Automation" tab on the left panel 


  • Scroll down and select the "User Accessible" folder
  • Create a workflow, by clicking the "Create workflow" option at the top



  • Choose the "Start from Scratch" option, and click"Continue"



  • Name your workflow at the top



  • Click on the "Add Action" Plus symbol option



  • In the Actions search bar type "wait" and click on the "Wait" option below it with a clock symbol.



  • Set the wait duration under the "wait" option. You can choose the number of days, hours, or minutes you want to wait before sending out the automation to clients. Once you've done that toggle the "Advance Window" option.



  • In the advanced options, you can select the day you want your message to be sent out, and also choose the time between which you want the message to be sent out. Click "Save Action" once done. 



  • Click on the "Add Action" button again



  • In the Actions search bar search for "SMS" and select the "Send SMS" action



  • Compose a message and then click on the "Save Action" option 
You can add multiple actions by clicking on the "Add action" plus (+) symbol to your workflow

  • Click on the "Save" option in the top right corner to save the workflow



  • Toggle the "Publish" button to activate this workflow. Save the workflow again. 



Let's talk about how this workflow will work using an example scenario: If a client gets added to this workflow. 
  1. The workflow will wait for 1 day, Let's take today as Monday, it's going to wait until Tuesday. 
  2. It will check the time duration and if it's within the specified timeline that we've set it will then send the SMS to the client.
  3. It will then wait again for a day
  4. On the next day, it will send a new message that we typed between the timeline that we've specified. 



  • Let's add a trigger element that will add people with the "Showed" tag to this workflow. Click the trigger box at the beginning of the workflow



  • Search for the "Appointment Status" trigger and select it 



  • Click on the first filters field and choose the "Appointment status is" option from the drop-down



  • In the 2nd field select the "Showed" option 



  • Click "Save Trigger"



  • Save the workflow by clicking the blue "Save" button on the top right



  • Toggle the Publish switch on the top right to turn on the workflow and then hit save again to update the workflow
