Introduction

Preparing your contacts list is a crucial step before uploading it into StudioHub to ensure efficient communication and organization. This guide will walk you through the process of getting your contacts list ready for seamless integration with StudioHub.



Steps


Step 1. Download and Separate Your Contacts


  • Access your studio management software. This could be Jackrabbit, Dance Studio Pro, Mindbody, etc.
  • Download your contacts list in separate reports or filters:

                   a. Currently enrolled students

                   b. Past students

                   c. Lads

       

  • Ensure each list contains columns for Parent's First Name, Parent's Last Name, Email, and Phone.
  • Save these three lists on Google Sheets or MS Excel in separate files.




Step 2: Organize and Clean Up in Google Sheets


  • Open Google Sheets or Excel. Upload each of the three lists into separate sheets. Double-check that each sheet contains the four columns: Parent's First Name, Parent's Last Name, Email, and Phone.




  • Delete any irrelevant columns, so that only the previously listed columns remain. To do this, just right-click on the cell, column, or row that you want to delete, then choose the delete option.



  • After deleting any unnecessary data, you should only be left with "First Name", "Last Name", "Phone", and "Email".



Step 3: Tag Your Lists


  • Create a new column called "Tags" in each sheet.



  • In the tags column for each list, add the appropriate tag for each group: Example: Currently Enrolled Students would be tagged "Current Student" + Date (eg. "Current Student 10/02/22)



  • If needed, you can copy entire columns by dragging on the bottom right corner of the cell.



Step 4: Repeat for Past Students and Leads

  • Once you are done with the "Current Students", you can now repeat steps 2 and 3 for "Past Students" as well as "Leads". 

                                            You can use the following tags for "Past Students" and "Leads":

                                        1. Past Students: "Past Student" + Date (e.g., "Past Student 10/02/22")

                                       2.  Leads: "Leads" + Date (e.g., "Lead 10/02/22")



Step 5: Save as a CSV File

  • After you have formatted the contacts list, save it as a CSV file. To do this in Google Sheets, click File in the upper left.




Hover over the "Download" option.



Click the Comma Comma Separated values (.csv) option. Be sure to rename each file to either "Current Students", "Past Students", or "Leads" as needed. Import these into your StudioHub account.
